1. Participation & RSVP
By changing your RSVP to ‘Going’ and booking an event, you agree to the Terms & Conditions of the AAA Hiking and accept that you and any guests that you bring are participating on your own accord, as an informed adult, entirely at your own risk & expressly accept that neither AAA Hiking nor any associated organisers have any responsibility or liability for loss or injury to persons or equipment. It is your responsibility to update your and any of your guests' RSVPs if your circumstances change.
Even without your acknowledgement of this disclaimer, be aware that Meetup.com's terms of service agreement specifically says that members join any and all Meetups at their own risk and cannot hold Meetup.com or its organisers and other members liable for damages.
2. Payment for Events
Most AAA Hiking events require payment to secure a place at the event. Some events will require immediate payment upon receipt of your RSVP. These are typically Day Events. Multiday events might, in some instances, require an immediate deposit payment to secure a place at the event. To retain the place and avoid forfeiting the deposit, the balance payment must be made by the specified date within the event.
If no deposit is requested and full payment is required to confirm your place, the RSVP only indicates your interest in the event. Payment requests and reminders will be sent; however, if no payment is forthcoming, the organiser reserves the right to remove you from the RSVP list.
To secure your place at an event, we recommend making payment as early as possible. Many of our overseas and popular weekends are regularly oversubscribed.
3a. Refund Policy - Multiple-day events
Any charges incurred by the organiser on RSVP and thereafter are non-refundable unless stated otherwise on the event page or in the organiser’s email. If you can no longer attend an event that you have already paid for, you are free to sell your place to another member of the same gender (only if all places on the trip are sold out) within the group, and arrange any money transactions privately.
The organiser is not liable to provide any refunds unless the cancellation is on behalf of the organising parties.
3b. Refund Policy - Day Hikes & Events
If you can no longer join the event, please message the host and update your RSVP status on MeetUp to 'Not going', to allow others to take your place. If the event sells out, and you have messaged us and have changed your RSVP to 'Not going', please email us on info@aaalondongroup.com after the event date, requesting a refund, including your PayPal email address, so we can locate the payment. Unfortunately, as PayPal retains the original transaction fee, we cannot refund this. If the hike is not full, we are sorry, we are unable to issue a refund.
4. No-Show Policy
After booking an event, if your circumstances change and you can no longer attend, it is your responsibility to update your RSVP to ‘Not going’ or notify the organiser directly at least 48 hours before the event starts. Failure to do so will result in you being marked as a ‘no show’. After you have been marked as a ‘no show’ three times, any of your future RSVPs will be moved to the Waiting List, and priority will be given to other members in case of a full event.
If you want to sell your place privately, you need to inform the organiser and stay on the trip list until you have received the buyer's money. The organiser will swap your RSVPs with the buyer after the seller confirms payment.
5. Waiver of Liability
Participation in any AAA Hiking event is subject to the participant signing the WAIVER OF LIABILITY AND ASSUMPTION OF RISK FORM circulated by the organiser at the start of an event. You should be aware of and accept the risks, as you are responsible for your own safety, and you should not undertake anything beyond your abilities. It is also your responsibility to be correctly equipped for the weather and activity you have chosen to participate in.
6. Accuracy of Information
You agree that AAA Hiking bears no responsibility for the accuracy of information regarding public transport costs, times and conditions of carriage, or safety of third-party equipment or facilities used. Though AAA Hiking will endeavour to offer what it believes to be accurate information at the time of publication for any event,
You agree that it is ultimately the responsibility of each participant to verify the accuracy of the information directly with third-party sources/facilities, as applicable, to enable companies or persons.
7. Membership
As a condition of membership, you agree to use your full name alongside an identifiable photo on your profile and to maintain timely, cooperative responses to organisers’ questions regarding the logistics or finances of any events that you are involved in. Failure to do so could result in losing your place and any associated payment.
By not showing your full name or first name and initial, it makes it impossible to link your payment to your booking
8. Changes of details
Your booking, payment, actual or intended participation also indicates your agreement that AAA Hiking organisers reserve the right to change at any time & without prior or written notice the start, finish, duration, location, and terms for any activity, accommodation or transportation it provides, wherever the event organiser deems appropriate, without a necessity to compensate participants’ losses or grievances in doing so.
9. Guests
It is your responsibility to inform any guests you bring along to an event of any changes, cancellations, charges, terms & conditions and any other details regarding the event. You are responsible for updating your RSVP if your guest is unable to attend. Any charges required on RSVP will also apply to the guests.
10. Children & Pets
AAA Hiking offers adult trips, and our events are tailored for adults; both the paths we take and some of the activities we participate in are not suitable for children or pets. Additionally, our main accommodation supplier, YHA, often doesn't allow pets. For these reasons, we cannot accept anyone below the age of 18 on our trips or anyone bringing a dog with them on a trip without first consulting the event organiser, who can make exceptions. In such instances, children and pets are permitted on specific weekends only with prior confirmation from the organiser. Children and pets are the sole responsibility of the accompanying adult and must be kept under control at all times.
11. Health conditions
It is your responsibility to inform the event organiser if you have any special dietary requirements, as food will often be provided on trips that last longer than a day. You should also inform the organiser of any medical conditions you have and ensure you are content with any agreed actions relating to them being addressed during the event.
12. Safety and Behaviour
As a member of the AAA Hiking, you are expected to behave safely and responsibly to ensure that no one comes to harm. The organiser reserves the right to ask any participant to leave without a refund in the case of misbehaviour and breaches of the AAA Hiking Code of Conduct.
13. Insurance
AAA Hiking does not accept liability for personal injury or death of any participants, however caused, or for the loss or damage of property while participating or spectating at any AAA Hiking events. It is strongly recommended that you take out appropriate insurance to cover yourself against potential personal accidents, loss, or damage to personal property.
14. Photos
You agree that any photos taken during an AAA Hiking event that are posted on a AAA Hiking-administered website can be copied and used by AAA Hiking administrators on other websites or for promotional purposes.
15. Equipment
Appropriate equipment must be worn for specific events. Failure to comply may result in your being denied access to a specific activity. If in doubt, ask. Details of the appropriate equipment can be found via our Information Library.
16. Furthermore
AAA Hiking reserves the right to update and make changes to this disclaimer at any time.
